Healthbase coordinated patients, healthcare providers, insurers, and medical concierge teams across a growing number of cases.
As the operation expanded, too much of that work depended on spreadsheets, email chains, and disconnected processes. Teams had limited visibility into patient journeys, provider availability, appointments, and medical logistics.
Without a central system, growth created more coordination work for the people responsible for keeping each case moving.
Healthbase needed a platform that could:
The goal was not simply to replace spreadsheets. Healthbase needed an operational system that could support the business as case volume increased.
Coding Partners built a custom web platform around the way Healthbase actually operated.
The system brought patient cases, provider information, appointments, capacity, and medical logistics into one central environment.
Concierge and operations teams could follow cases through the workflow, see the information relevant to each patient, and coordinate providers without relying on separate spreadsheets and email threads.
The platform also included administrative tools that allowed internal teams to manage services and provider relationships without requiring developer support for routine changes.
The difficult part was not simply digitizing an existing process.
The platform had to connect several different operational workflows while remaining usable for teams handling live healthcare cases every day. Changes to one part of the system could affect patient coordination, provider availability, logistics, and internal reporting at the same time.
The product therefore had to simplify the operation without removing the flexibility teams needed to handle different types of patient cases.
As the platform matured, Healthbase wanted to improve the way patients were matched with caregivers.
Coding Partners added an AI-powered matching feature that considered more than simple availability. The matching logic also incorporated medical needs, preferences, and other factors relevant to finding a suitable caregiver.
The feature was integrated into the existing platform rather than built as a separate tool, allowing the matching workflow to use the same operational data and processes already used by the Healthbase team.
The AI matching feature went live in 5 weeks.
The platform became the operational foundation for Healthbase's day-to-day patient coordination.
More than 1,000 patient cases per month were managed through the system, while the amount of time teams spent on coordination decreased significantly.
Moving the workflow into one system gave teams a shared operational view and reduced the manual work required to keep cases moving.
The next phase focused on improving how quickly patients could find the right caregiver.
The improvement came from extending a system that teams were already using, rather than asking them to adopt another disconnected workflow.
Healthbase started with a coordination problem. The result was a platform that supported more than 1,000 monthly patient cases and became the foundation for further product development.
Once the core operational workflows were centralized, new capabilities such as intelligent caregiver matching could be added without rebuilding the system around them.
The project shows how Coding Partners can stay involved beyond the first release, first solving the core operational problem and then extending the product as new opportunities emerge.
