BEAT81 uses Leapsome for employee management and Quinyx for workforce planning and scheduling.
The problem was that employee data had to stay consistent across both systems. New hires, profile changes, roles, locations and offboarding updates could otherwise create repetitive manual work for the HR team and leave information out of sync.
The integration needed to support the employee lifecycle without adding another operational process for the team.
It had to:
The goal was simple: employee data should move between the two systems automatically, while HR only steps in when something genuinely requires attention.
Coding Partners built an automated integration connecting employee events in Leapsome with the corresponding workflows in Quinyx.
When relevant employee data changes in Leapsome, the integration processes the update and synchronizes the required information with Quinyx.
For new employees, this means their information can appear in Quinyx within minutes once the required onboarding data is available.
The difficult part was not simply connecting two APIs.
The two platforms represent employee information differently, and the integration had to translate changes in roles, locations, managers, cost centers and employment status into the structure expected by Quinyx.
It also needed to behave reliably when something went wrong.
Temporary API failures should not result in lost employee updates, while incomplete data needed to be identified before creating incorrect records.
We added retry handling, validation, logging and alerts so that problems could be surfaced clearly and handled without losing track of the original employee update.
The complete integration was delivered in 18 days.
The result is a workflow that runs in the background while still giving the team visibility when an update requires human attention.
The integration replaced a largely manual synchronization process with an automated employee data workflow between Leapsome and Quinyx.
The HR team no longer needs to treat routine synchronization between Leapsome and Quinyx as a recurring administrative task.
New employee data can move from Leapsome into Quinyx within minutes once the required information is available.
This means workforce planning can start without waiting for the same employee information to be entered manually into another system.
The integration removes repetitive work without making the process invisible.
Successful updates run automatically, while exceptions are surfaced so the team knows when attention is required.
The result is a more reliable employee data flow with significantly less manual coordination between the two platforms.
