The Challenge

Healthbase coordinated patients, healthcare providers, insurers, and medical concierge teams across a growing number of cases.

As the operation expanded, too much of that work depended on spreadsheets, email chains, and disconnected processes. Teams had limited visibility into patient journeys, provider availability, appointments, and medical logistics.

The system brought patient cases, provider information, appointments, capacity, and medical logistics into one central environment.

Concierge and operations teams could follow cases through the workflow, see the information relevant to each patient, and coordinate providers without relying on separate spreadsheets and email threads.

The platform also included administrative tools that allowed internal teams to manage services and provider relationships without requiring developer support for routine changes.

The hard part

The difficult part was not simply digitizing an existing process.

The platform had to connect several different operational workflows while remaining usable for teams handling live healthcare cases every day. Changes to one part of the system could affect patient coordination, provider availability, logistics, and internal reporting at the same time.

The product therefore had to simplify the operation without removing the flexibility teams needed to handle different types of patient cases.

Adding intelligent matching to a live platform

As the platform matured, Healthbase wanted to improve the way patients were matched with caregivers.

Coding Partners added an AI-powered matching feature that considered more than simple availability. The matching logic also incorporated medical needs, preferences, and other factors relevant to finding a suitable caregiver.

The feature was integrated into the existing platform rather than built as a separate tool, allowing the matching workflow to use the same operational data and processes already used by the Healthbase team.
